Event AV Checklist for Singapore Venues

Most AV problems at events are logistics problems. Work through this before you book anything.

Venue and access

  • Confirm the build-in and strike times, including any overnight restrictions.
  • Check loading bay access, lift dimensions, and whether trolleys are allowed through public areas.
  • Ask the venue about rigging rules and ceiling points if you want a hung screen or LED wall.
  • Find out who holds the keys to the AV cupboard and house sound on the day.

Power and cabling

  • Identify power points near the stage, the screen, and front of house.
  • Flag anything heavy-draw: LED walls, large PA systems, stage lighting.
  • Agree on cable routes across walkways and who supplies cable ramps or tape.

Programme and people

  • Share the run sheet, including who speaks when and from where.
  • Count microphone channels: emcee, VIPs, panel, Q&A floor mics.
  • Decide who advances the slides — presenter, emcee, or the AV desk.
  • Book a rehearsal window; even 30 minutes catches most surprises.

Content

  • Confirm the screen or LED wall resolution before exporting videos.
  • Send final files at least a day ahead so playback can be tested.
  • Bring a backup copy on a USB drive as well as in cloud storage.
  • Check whether any video has audio that needs to run through the PA.

On the day

  • Sound check every microphone with the actual speaker if possible.
  • Walk the room and look at the screen from the back row and the side seats.
  • Agree a signal between the emcee and the AV desk for cues.
  • Confirm the strike time and who stays behind to hand the room back.
